What does a bespoke CRM cost at Digital XP?
By the Digital XP team · Leeds, UK
A full bespoke CRM from Digital XP typically costs £5,000–£8,000 and takes 4–8 weeks, depending on its scale. That is our ballpark for planning a project, not a fixed package or a price for every piece of custom software.
Everything is made around the company: the records your team needs, the stages work moves through and the people who need access. We agree the scope, delivery plan and fixed quote before building.
What changes the quote?
Two systems can both be called a CRM and involve very different work. A sales pipeline with contact notes is a smaller brief than a system connecting bookings, payments, field teams and customer accounts. To price yours, we need to understand the work behind the screens.
- Workflows: what happens from first enquiry through to delivery, invoicing and follow-up?
- Access: who can see, edit, approve and export each type of record?
- Integrations: which existing tools must exchange data, and what access do they provide?
- Migration: which existing records need importing, checking or deduplicating?
- Exceptions: cancellations, failed payments, reassigned work and other cases the everyday process must handle.
What does 4–8 weeks depend on?
The scale of the CRM is the main factor. The schedule also depends on access to existing systems, sample data and timely decisions from the person responsible for the project. We confirm the delivery window against the agreed brief.
Start by walking us through a real piece of work. Show where it enters the business, where information is copied and where someone currently has to chase an update. That gives us a better starting point than a long list of software features.
A focused first release may be sensible when one workflow causes most of the difficulty. Later features should have a separate scope so the first release has a clear finish line.
Adding a website redesign
When purchased alongside a CRM, we can package in a bespoke website redesign for an additional £1,000–£2,000, depending on scope. This is the combined-project offer; it is not our standalone website price.
Planning both together lets us agree how a website enquiry reaches the CRM, which details are collected and what your team sees next. Online booking, complex ecommerce or a large content migration need to be discussed explicitly rather than assumed to fit that allowance.
Budget for what happens after launch
Three months of support and bug fixes are included. After that, hosting, maintenance and improvements run on a monthly plan agreed around your needs. The proposal explains the ongoing cost, third-party services, account access and handover arrangements.
The £5,000–£8,000 range describes our typical initial CRM build. A larger or more involved system may sit outside it. Send us your process and existing tools, and we can establish whether your project fits before asking you to commit.
For an example of the work involved, the EFR Skips and Onyx Recycling project connects customer booking with day-to-day operations. Its case study describes the delivered workflows; it is not a promise that every feature fits the typical CRM budget.
