Custom CRM or off-the-shelf software: which fits your business?

Use an existing CRM when it handles the important parts of your sales process without awkward workarounds. Explore a bespoke CRM when your team's essential work depends on records, permissions or operational rules that the available setup cannot represent clearly.
We build custom systems, so we have a commercial interest in that decision. The useful test is whether a build solves a specific problem well enough to justify its development and ongoing care.
Write down one real workflow first
Follow a recent customer from enquiry to completed work. List the information each person needed, where they found it and what they entered twice. Then identify which problems come from the software and which come from a process nobody has agreed.
- Can an existing tool represent your records and stages clearly?
- Can the right people access the right information without seeing everything?
- Can your existing tools exchange the data you actually need?
- Can you export the records in a useful form?
- Who will own the setup and keep it current?
When an existing platform is the sensible starting point
A standard contact database, sales pipeline, reminders and routine reporting may not justify a bespoke build. Before replacing a platform, check whether configuration, an unused feature or a smaller integration addresses the problem.
Ask for a demonstration using your own example workflow. Watch what happens at the awkward points: two people editing a customer, a lead becoming a repeat customer, a booking changing after payment. A polished demonstration with ideal data tells you less.
When a bespoke system earns its place
Custom software is worth investigating when the CRM is also part of operations: booking rules, job allocation, customer self-service, unusual pricing or different permissions across teams. The case for building should name those gaps and explain what the new system will do about them.
For Qube Self Storage, we built a website enquiry flow connected to a private lead-management CRM with status updates, notes, search and CSV export. The owner needed a clear route from a prospective customer's preferred storage size and move-in month to a record the team could manage.
That is a useful pattern: agree the business action first, then build the records and screens needed to support it. Avoid recreating every feature of a large platform just because it exists.
Compare the full commitment
For either option, write down setup, subscriptions, hosting, integrations, migration, staff training, support and future changes. Include the time someone inside the business must spend administering it. A low initial price is not the whole cost.
Our full bespoke CRMs typically cost £5,000–£8,000 and take 4–8 weeks depending on scale. Three months of support and bug fixes are included, followed by an agreed monthly plan. Compare that against a current quote for the existing platform configured for your actual requirements.
